Order Processing and Invoicing
The Licensing Tool provides a lot of options to create licenses and license updates. It also provides a reporting system to track created licenses and updates for accounting and service department in your company. Notifications are described in the following.
Order Confirmation and Delivery Note
License productions of either new licenses or updates are tracked. You will receive an order confirmation and a delivery note combined into a single email. The email is sent to the pre-defined email address(es) which have been configured during registration and activation of the Licensing Tool. Please refer to the section "License Creation and Registration Information" for details.
This gives you and us the proof that the license has been properly created and your order was accepted by labCognition.
New License Email

Emails are sent for each new license by the labCognition licensing server automatically.
Email Subject
The email subject contains the serial number and the purchase order identifier (PO#). The PO# is used as reference for the order and it will appear on the invoice as well.
Email Body Text
The body text starts with a block of ordered items being relevant for the delivery and invoicing. The text block provides a detailed list of important information:

Creation Date
Date and time when the license was created. -
License created by
Here the user name of the Licensing Tool user is shown to have a contact person being responsible for that order. -
OrderID
The unique order identifier (PO#) is shown to have a unique reference number being referred to on invoices and all other correspondence. -
Software Version
This field shows the delivered software/product name plus the shipped version number. The information was retrieved from the *.msi file the Licensing Tool user selected during creation of the license. -
Type
The license type follows which shows a fixed text to identify the license type which is either a dongle or serial number license or an update of one of them. -
Serialnumber
Here the unique serial number is shown which is the reference for license updates and service and support people to identify the license. -
Donglenumber
This field is only shown for dongle licenses. It shows the unique dongle number which is the reference for dongle license updates and also for service and support people to track the license. -
Modules
This field lists the most important information for the accounting department. It holds the list of ordered items with fully qualified item name. Here the same module and product names are used as shown in the selections during creation of the license.
Finally some accounting information is shown with the postal address of your company. Invoices will be sent to this address, if postal invoicing is applied.
License Updates
The emails sent for license updates basically contain the same information as those for new licenses. In addition they have included the full license history with all information on previous updates. Furthermore it contains the registration information of the user who registered the license. This is typically not available when creating the license.
This gives you the ability to track changes and updates and to help your service and support to have all relevant information of the end customer at a glance. A typical update license email looks like this:
